Mission principale du poste :

En équipe/ pool avec une ou plusieurs autres secrétaires, vous aurez pour mission d'assurer le secrétariat quotidien de l'équipe (Associés, Counsels et Avocats).
 

Activités :
 

Secrétariat :


•Gérer quotidiennement les e-mails, les appels téléphoniques, les renvois d'appel et la prise des messages ;


•Planifier et organiser les rendez-vous (gestion des agendas, organisation des réunions et des conférences téléphoniques) et les déplacements des membres de l'équipe ;


•Prendre en charge l'impression, la numérisation, les photocopies de documents et la création de bibles ;


•Assurer la frappe, la relecture, la correction et la mise en forme de documents en français et en anglais ;


•Effectuer le classement et l'archivage des dossiers électroniques et physiques de l'équipe

Facturation et gestion client :


•Assurer l'ouverture de dossiers clients et la création de matters ;


•Editer, traduire et vérifier les descriptifs et l'envoi des factures aux clients en fin de période ;


•Relancer et suivre les factures


•Mettre à jour les dossiers dans la base de données des opérations du cabinet ;


•Aider les avocats dans la préparation des correspondances avec les tribunaux et les parties adverses, des conclusions et des dossiers de plaidoiries via e-Barreau (RPVA) ;

Business développement :


•Actualiser la base de données contacts Interaction (1) en gérant les contacts de votre associé/équipe, (2) en rentrant les activités de Business Development;


•Contribuer aux appels d'offres (ouverture de dossiers non facturables, mise à jour de la base de données des appels d'offres, mise en page des réponses à appels d'offres et des listes de références, entre autre, mise à jour de la base de données des CV) ;


•Aider à la préparation d'évènements marketing pour promouvoir l'activité arbitrage et compliance (réservation de salle, restauration, création de liste d'envoi, invitations, relances, badges, accueil, suivi post-évènement).

Compétences requises

-Bonne maitrise des outils informatiques (Pack Office en particulier Word et Excel)

-Anglais courant

-Rigueur, adaptabilité, flexibilité

-Gestion du stress et des priorités
