The World Organisation for Animal Health (WOAH – founded as OIE) is a leading intergovernmental organisation representing 183 Members worldwide. This position is located in Paris.

Job Description

Positioning and reporting

The intern will work in collaboration and under the supervision of relevant staff within the Events Coordination Department.

Job purpose

The intern will support the Events Coordination Unit (ECU) in the smooth preparation and delivery of meetings and events by providing administrative, logistical, and organisational assistance. This role helps ensure efficient workflows, well-maintained documentation, and timely coordination of event-related activities. The intern will contribute to a wide range of tasks that facilitate the overall functioning of the department and collaborate as a team member.

Mission and Activities

1. Administrative Support

  • Assist with basic administrative tasks such as document preparation, filing, and updating tracking tools.
  • Help maintain shared resources and support the organisation of internal workflows.

2. File Sorting and Document Management

  • Support the sorting, renaming, and organisation of digital and physical files according to internal guidelines.
  • Contribute to keeping shared folders structured and up to date to facilitate information access.

3. Email and Communication Support

  • Monitor event-related inboxes, sort incoming messages, and draft initial replies to simple queries.
  • Help prepare communication templates and support consistent information sharing.

4. Meeting Support

  • Assist in scheduling meetings, preparing materials, and taking basic notes.
  • Help update action lists and ensure follow-up on pending items.

5. Procurement and Supplier Assistance

  • Support the preparation of procurement documents and the collection of quotations.
  • Help follow up with suppliers on deliveries and services.

6. Event Logistics Support

  • Assist in preparing event materials (badges, documents, kits) and updating participant lists.
  • Support logistical coordination before and during events, including on-site assistance when needed.
  • Contribute to post-event tasks such as collecting feedback and organising documentation.

7. Webinar Organisation Support

  • Assist in planning and scheduling webinars and virtual workshops.
  • Help set up online platforms, prepare participant lists, and coordinate technical tests.
  • Support the setup and coordination of interpretation channels (e.g., simultaneous language interpretation) when required.
  • Provide live support during webinars by monitoring the chat, managing questions, and addressing basic technical issues.
  • Contribute to the post-webinar follow-up, including collecting feedback and organising recordings and materials.

This list of missions is not exhaustive. The intern may be assigned additional tasks as needed to support the department's operations and contribute to ongoing activities.

Requirements

Required Skills and Experience

Education

Candidates must meet one of the following educational requirements:

  • Currently enrolled in a post-graduate academic programme; or
  • Have graduated no longer than 1 year ago from a post-graduate programme or equivalent studies.
  • Field of study: Communication, events, or business school.

Requirements

Technical skills

  • Excellent command, both written and spoken, of English (at ease to present and brief internal and external stakeholders in English).
  • Excellent communication skills (verbal, written, interpersonal).
  • At ease with basic software to create and manage documents: Word, Excel PowerPoint, Microsoft Teams, Zoom, OneDrive, SharePoint.

Additional language skills

  • French and/or Spanish and/or Russian and/or Chinese is an asset.

Technical Competencies

  • Highly oriented to events production.
  • Very organized ways of working.
  • Analytical ability: problem definition and establishing research questions.
  • Problem-solving.

Behavioural Competencies

  • Ability to work without any issue within short deadlines, pressure and manage non expected situations
  • Willing to execute any necessary task to get an event production done
  • Pro-active mindset and Can do' attitude
  • Genuinely curious and engage in the work and mandate of the WOAH

This position can require manual tasks and physical efforts such as carrying heavy boxes, box/unbox, install IT equipment, spending 6 days in a row in a venue, moving in different levels using stairs, etc.

Additional Information

Internship conditions

  • The WOAH will provide a stipend in the amount of 715€ monthly for full time work (39H/week).
  • This is a full-time internship based in Paris, France.
  • Start date: end of January/begin of February 2026
  • The maximum internship duration is 8 months.
  • The intern must provide proof of enrolment in health insurance plan.
