About the role
We are looking for an HR Operations Officer to support reliable day-to-day HR operations. Your primary responsibility will be maintaining accurate, approved employee information in OPERA and related HR records. You will also support attendance and leave administration, onboarding, probation and offboarding workflows, basic reporting and document coordination. You will work under the guidance of the relevant HR process owners. The role focuses on administrative execution and follow-up within delegated authority; decisions concerning employment, pay, working time and performance remain with authorized managers and specialists.
Key responsibilities
HRIS and employee data
• Maintain approved employee records in OPERA, including contact information, employment status, joining and leaving dates, work location, department, reporting lines and position details, within authorized access.
• Enter approved changes promptly, check supporting documents and mandatory fields, maintain a traceable change log, carry out data-quality checks and escalate inconsistencies.
• Coordinate organizational and employee lifecycle information with the relevant HR specialists. Technical configuration, user permissions and changes to contracts or compensation remain outside the role. Attendance, leave and working-time administration
• Collect and reconcile attendance and absence records where applicable; check leave/RTT, remote-working records and overtime submissions for completeness.
• Maintain tracking tables, issue procedural reminders and prepare exception summaries for review.
• Support working-day records and workload-review schedules for employees under the applicable working-time regime, without hourly monitoring of employees on M3 arrangements.
• Provide administrative support without approving leave or overtime, determining pay or rest entitlements, or making compliance or disciplinary findings. Onboarding, probation and offboarding
• Prepare joining and leaving checklists, collect standard documents and information, and update approved employee data in OPERA.
• Monitor workflow stages, probation review dates, documentation and approval completion; remind process owners of deadlines and maintain supporting records.
• Coordinate standard communications and liaise with Administration and IT on equipment, access and logistical arrangements.
• Support authorized process owners, who retain responsibility for contracts, probation decisions and termination actions. Reporting, records and HR coordination
• Maintain employee movement, headcount, attendance and workflow-completion registers.
• Produce basic monthly and ad hoc extracts and status reports from authorized sources; reconcile HRIS data and document corrections and outstanding discrepancies.
• Organize controlled personnel files and standard forms, including version and retention checks.
• Provide verified source information for payroll only after authorization; independent payroll calculation or validation is outside the role.
• Support standard letters, notices, meeting scheduling, training attendance, annual performance-cycle reminders and controlled filing.
• Answer routine process questions using approved guidance or refer them to the appropriate specialist.
• Suggest practical improvements to templates, checklists and data controls, assist approved implementation and testing, and complete other reasonable HR operational tasks consistent with the role. What you bring
• Relevant background in HR, business administration or equivalent practical experience.
• This is an entry-level role. Experience through an HR internship, personnel administration, HRIS data entry or office coordination is an advantage.
• Professional working proficiency in both English and French, spoken and written, for employee communication, HR documents and internal process coordination.
• Chinese language skills are an advantage, particularly for communication with headquarters, but are not mandatory.
• Confident use of Microsoft Excel, Word, Outlook and Teams, with accurate and systematic data handling.
• Ability to learn HRIS workflows, follow standard procedures and maintain auditable records.
