Alstom’s M&A team is recruiting for an **Executive Assistant**to deal with a team made up of 7-10 people working in finance, strategy and legal positions. The team includes two Vice Presidents (VP Finance M&A and Special Projects, and VP Legal M&A). The M&A and Special Projects environment is typically fast paced and involves working with a diverse range of stakeholders in a global context.

**Responsibilities**
- Provide gatekeeping, administrative, logistics and document support to M&A Team in a rigorous and fast-paced environment
- Administrative duties: complex travel and visas, leave and absences; calendaring deadlines; meeting logistics; expense reports; processing of purchase orders, processing of invoices and follow up, preparation and printing of meeting information packages
- Maintain and update department and project budgets
- Arrange execution and distribution of agreements (including through use of e-signatures) and implement an efficient documentation and filing system to ensure prompt filing and archiving of electronic and hard copy materials
- Type, edit and redline simple documents in French and English quickly and accurately, proofreading for content and typographical errors
- Assist with additional ad hoc projects as needed

**Requirements**:

- 4+ years of executive assistant experience in a professional services environment
- Excellent written, oral, and interpersonal skills in English and French
- Proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook)
- Ability to work productively and cooperatively with all levels of staff and to meet deadlines, make decisions, prioritize and change course of action quickly
- Flexible for overtime and remote work out-of-hours as needed
