Job Summary
This position involves work in the Office of the Registrar. It assists students from the point of registration through graduation, focusing on student support for records and registration policies and procedures. The role ensures the accuracy of student record data and that all documentation is accurate, complete, and readily available. This is a career‑level position eligible for veteran preference.
Essential Duties and Responsibilities
- Assists students at the front counter in the Office of the Registrar, often serving as the first point of contact.
- Guides students from registration through graduation by providing accurate information regarding all Office of the Registrar policies, procedures, and processes.
- Processes electronic transcript requests, completes paper requests, and manages the intake of payment, maintaining a daily money log and depositing funds for the Bursar.
- Processes tuition and fee waivers for Florida State employees, classroom teachers, and state residents, monitoring enrollment and documentation.
- Performs daily student record adjustments including add/drop requests, withdrawals, name and address changes, and grade changes, ensuring accuracy and documentation.
- Provides telephone and face‑to‑face customer service and responds to emails in the registrar inbox.
- Responds to requests for course descriptions, catalogs, and other informational materials from other colleges and universities.
- Maintains a clean lobby area and ensures workspace is properly stocked.
- Accurately records the receipt of high school transcripts and placement scores (ACT, SAT, PERT, Accuplacer, etc.) for seamless communication of record requirements.
- Scans, indexes, files, and purges student records in the document imaging system in compliance with Florida record retention requirements.
- Keeps abreast of all SACS, Florida Department of Education, SCF, and departmental policies and procedures.
- Performs other duties as assigned.
Job Qualifications
Education/Experience
Associate degree or equivalent from a two‑year college or technical school and two or more years of related experience and/or training, or an equivalent combination of education and experience.
Supervisory Experience
This position has no supervisory responsibilities.
Language Ability
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations; write reports and business correspondence; present information effectively.
Math Ability
Ability to perform addition, subtraction, multiplication, and division with whole numbers, common fractions, and decimals; handle standard measures of currency, weight, volume, and distance.
Reasoning Ability
Ability to solve practical problems with limited standardization and interpret instructions given in written, oral, diagram/chart, or schedule form.
Computer Skills
Intermediate knowledge of word processing, database, and email software. Proficiency with the College's current database software is essential within one month of hire.

Responsibility For People And Property
This position is responsible for mail that includes cash, checks, and credit card information.
Responsibility For Communication
Internal contacts: SCF students and staff. External contacts: college/university personnel, third‑party vendors, outside agencies, colleges, universities, high schools, and the general public.
Work Environment
The work environment is a busy office with frequent interruptions and moderate noise level.
Physical Demands
Requires manual dexterity, frequent standing, walking, sitting, and reaching; occasionally lifts up to 10 pounds. Vision requirements include close, distance, peripheral, depth perception, and ability to adjust focus.
