POSITION OVERVIEW

The Housing Logistics Advisor plays a crucial role in ensuring quality accommodation for students at the American University of Paris. Reporting to the Senior Housing Logistics Coordinator, this position is responsible for assisting with the administrative functions related to housing logistics and maintenance operations within the Residential Life Office. The Advisor will coordinate with maintenance technicians to schedule necessary repairs and upkeep, while also providing support and regular communication to students regarding housing maintenance issues.

DUTIES

Preparation and Management of AUP and Partner Residences

  • Facilitate logistics operations to prepare housing facilities for each semester (inventory, cleaning, linen, repairs, etc.)
  • Assist in the ordering and replacement of equipment and inventory.
  • Support the Resident Assistant (RA) program by aiding in recruitment, selection, training, and conducting meetings, as well as providing guidance to RAs on maintenance interventions and logistical tasks.

Maintenance

  • Oversee cleaning and maintenance activities.
  • Track student maintenance requests and ensure timely resolution.
  • Communicate updates to students regarding scheduled maintenance and completed repairs.
  • Help coordinate routine inspections of the buildings.
  • Participate in semester Health and Safety inspections and arrange necessary interventions based on identified issues.
  • Manage the inventory of keys/badges/cards and assist in replacing lost items.

Administrative Support

  • Coordinate provider payments with the accounting department.
  • Process payment requests for purchases.

Support to the AUP Residential Life Office

  • Assist in preparing move-in and move-out documentation (inventories, walk-through documents, leases, contracts).
  • Support student move-in and move-out days.
  • Aid in the process of security deposit refunds.

Other duties as assigned by the supervisor.

QUALIFICATIONS

  • BA or equivalent degree.
  • Proficient in both French and English.
  • Knowledge of Paris and the French community.
  • Strong organizational skills with attention to detail and the ability to work under pressure.
  • Experience managing multiple projects while adhering to deadlines.
  • Service-oriented with excellent communication and interpersonal skills.
  • Awareness of student needs and cultural sensitivities.
  • Familiarity with the American educational system is a plus.
