The plant

The Agence de la biomédecine is a public administrative establishment under the supervision of the French Ministry of Health. The Agency manages, supervises, supports and evaluates activities in the fields of organ, tissue and cell procurement and transplantation, as well as in human reproduction, embryology and genetics, and embryo and human embryonic stem cell research. It fulfills both supervisory and expert missions, and operational missions, which for some of its departments require 24/7 operation (e.g. for graft allocation).

The Agency employs 253 people, most of whom work at its head office in Saint-Denis (93); some 50 people work in regional departments.

The Agence de la biomédecine is headed by a Chief Executive Officer, supported by two Deputy Chief Executive Officers: a Deputy Chief Executive Officer in charge of medical and scientific policy, and a Deputy Chief Executive Officer in charge of resources. The Administrative and Financial Department (DAF), which has a staff of 21, is responsible for the smooth running of the establishment and for ensuring the security of procedures relating to the entire scope of finance, budgets, purchasing, mission expenses and general services aspects of the working environment.

Job environment

The supervision and management of organ and tissue procurement and transplantation activities is one of the historic missions entrusted to the Agence de la biomédecine by the French Bioethics Act. It is included in the Agence de la biomédecine's Contrat d'Objectifs et de Performance (COP) as strategic objective no. 1. The Grand Ouest regional department, a key service of the Agence which reports to the Direction du prélèvement et de la greffe d'organes et de tissus (DPGOT), contributes to the elaboration of strategies for the development of organ and tissue retrieval and transplantation, and ensures their implementation by translating them into operational objectives at local, regional and inter-regional levels. It ensures H24 regulation activity.

In this context, the Medical Activities Assistant will be responsible for..:

- Managing deceased donor files within the Regional Secretariat;
- Managing recipient news;
- Managing undesirable events in conjunction with the vigilant referral physician: Positive bacteriological and mycological results of graft preservation fluids;
- Managing the secretariat of a transplantation network, in collaboration with a doctor and nurse coordinating the network;
- Handling requests for graft bags and secure clips from hospital coordinators;
- Transmitting information.

Main tasks

The Medical Activities Assistant:
Responsible, within the Regional Secretariat, for managing deceased donor files for the Grand Ouest region and part of the Ile de France/Antilles/Guyane region:

- Daily monitoring of donor files on Cristal (internal tool) and on dedicated areas
- Declare samples and close files in Cristal
- Manage receipt of donor tests (bacteriological and mycological) after sampling for each PMOT file.
- Contact hospital coordinators (if necessary) to retrieve results

Manages adverse events (AE) in liaison with the vigilant referral physician for the Grand Ouest and Sud Est regions: Positive bacteriological and mycological results of graft preservation fluids:

- Entry of AEs via the Cristal Green tool, in liaison with the vigilant referral physician, and dispatch to the transplant teams.

Takes charge of the secretariat for one or more procurement networks, in collaboration with a doctor-nurse network coordinator:

- Manage appointments with institutional contacts
- Follow-up on procurement authorizations and agreements
- Update the SESAME database for hospital coordinators and transplant teams, as well as their access rights to the Agence de la biomédecine portal.
- Monitor and archive the network's documentation

Takes charge of the day-to-day management of the secretariat

Manages on-call regulation schedules for CIARs and Level 2 DPGOT physicians, as well as for vigilant physicians.

Functional relationships

The Medical Activities Assistant will be in close contact:

- Internally, with the Regional Secretariats, the Plateforme Nationale de Répartition des Greffons (PNRG), the DPGOT secretariat,
- Externally, with all professionals involved in organ and tissue procurement and transplantation.

Job specifications and constraints
- Respect for confidentiality due to management of sensitive medical data (deceased donors, transplant patients)
- Respect for anonymity of files
- Opening hours to be arranged within the secretariat (between 8 a.m. and 5 p.m.)

Knowledge, skills and abilities
- Preferred training: BTS (2-year technical diploma) in medical assisting
- Desired experience: In the medical field
- Computer skills (Word, Excel, Outlook and Internet)
