We are now looking for a
Part-time (80%) Office Coordinator
to join our RELEX office in Lille.
Your Role as Office Coordinator:
You will be at the heart of our vibrant and growing Lille office of 50+ RELEXians. As our Office Coordinator, you'll take full ownership of the day-to-day running of the office environment and local event organization. You'll ensure everything runs smoothly while creating an atmosphere that enables productivity and collaboration.
This is a hands-on and autonomous role that requires excellent organizational skills, attention to detail, and the ability to prioritize and execute tasks efficiently.
Key Responsibilities:
Office Management
- Ensure smooth daily operations of the office, including maintenance, upkeep, and handling any ad hoc challenges with service providers.
- Oversee organization of common areas, meeting rooms, lounge, and storage spaces to maintain a welcoming and functional office environment.
- Manage incoming and outgoing mail and handle general correspondence.
- Check incoming invoices (e.g., utilities) and ensure they are approved and paid on time.
- Control office-related expenses and oversee local employee invoices following pre-approval by team leads.
Onboarding & Offboarding Coordination
- Coordinate with Business IT to manage office IT assets and ensure timely setup and decommissioning for employee onboarding and offboarding.
- Ensure that new employees have their equipment set up and ready before their first day.
- Prepare welcome packages for new employees.
- Support smooth onboarding and offboarding experiences in collaboration with People Operations.
Event Ownership
- Take full ownership of organizing all local office events, including summer parties, team gatherings, seasonal celebrations, and other employee initiatives.
- Plan, execute, and manage all aspects of events, from budgeting to logistics, ensuring engaging and memorable experiences.
- Coordinate with other RELEX offices for regional and international events when needed.
Office Management & Local Support
- Support employees with travel needs, such as insurance documentation and corporate card benefits.
- Take care of practical local arrangements and purchases using a company credit card when needed.
- Handle day-to-day problem-solving with external providers to ensure the office runs smoothly.
Who We're Looking For:
- Self-driven, proactive, and able to take full ownership of tasks independently.
- Strong time management and multi-tasking abilities, especially under pressure.
- Prior experience in office coordination, administration, hospitality, or facilities management is highly valued.
- Excellent communication and interpersonal skills.
- Fluent in both French and English.
