Job Title: Administration Coordinator

The Administration Coordinator will provide administrative support to the Regional Manager Western Europe and the regional team, ensuring the smooth operation of company-funded projects and proposals.

Key Responsibilities:
  • Develop and maintain administration planners to ensure timely completion of invoices, contracts, and purchase orders.
  • Provide accurate and timely reports to managers on project data and assist with interpretation.
  • Assist the regional team with End of Financial Year reconciliations and SAP-related administration.
  • Draft legal documents, track workflow processes, and maintain project information in SAP and the company's document management system.
  • Book travel, manage courier requirements, and support with vendor forms and PO execution.
  • Work with key personnel to manage internal updates and training, including Salesforce optimization.
  • Create email templates, send updates, and manage inbounds via company tools.
  • Update information in the CRM and manage stationery supplies.
  • Be the point of contact for office-related IT issues and coordinate security/access passes.
Requirements:
  • 2+ years' experience in an administration role.
  • Intermediate + skills in MS Word, Excel, and PowerPoint.
  • Experience with SAP is highly regarded.
  • Highly developed communication skills, including writing clearly and concisely in French and English.
Working Relationships:
  • Finance team in Head office.
  • Marketing team in Head office.
  • Legal Services & IP team in Head office.
  • Other head office and internal parties as required.
