The Administration Coordinator will provide administrative support to the Regional Manager Western Europe and the regional team, ensuring the smooth operation of company-funded projects and proposals.
Key Responsibilities:- Develop and maintain administration planners to ensure timely completion of invoices, contracts, and purchase orders.
- Provide accurate and timely reports to managers on project data and assist with interpretation.
- Assist the regional team with End of Financial Year reconciliations and SAP-related administration.
- Draft legal documents, track workflow processes, and maintain project information in SAP and the company's document management system.
- Book travel, manage courier requirements, and support with vendor forms and PO execution.
- Work with key personnel to manage internal updates and training, including Salesforce optimization.
- Create email templates, send updates, and manage inbounds via company tools.
- Update information in the CRM and manage stationery supplies.
- Be the point of contact for office-related IT issues and coordinate security/access passes.
- 2+ years' experience in an administration role.
- Intermediate + skills in MS Word, Excel, and PowerPoint.
- Experience with SAP is highly regarded.
- Highly developed communication skills, including writing clearly and concisely in French and English.
- Finance team in Head office.
- Marketing team in Head office.
- Legal Services & IP team in Head office.
- Other head office and internal parties as required.
