The American University of Paris is seeking a highly organized and detail-oriented Career Office Coordinator to support the ACE Center Career Office team. This role will involve providing administrative support, managing shared email inboxes, and assisting students with career and internship resources.

Key Responsibilities

  • Provide exceptional customer service to students, responding to queries and implementing smooth handoffs to advisors as needed.
  • Support the management of shared email inboxes and provide administrative assistance with tasks related to internships, the Global Professional Skills Program, and AUP Engage.
  • Plan and schedule recurring and one-off events, workshops, and meetings using Outlook and AUP Engage, and document and process event attendance.
  • Participate in compiling office statistics and planning and implementing unit assessment activities.
  • Support administrative tasks related to the office running smoothly, such as managing supplies and processing documents.
  • Liaise with other academic and administrative units as appropriate, including Student Accounting Services, Student Immigration Services, AUP Health Office, Student Development, Alumni Relations, Communications, Registrars Office, Graduate Programs Office, and academic department chairs and program directors.

Requirements

  • Bachelor's degree or equivalent.
  • Fluent verbal and written communication skills in English.
  • Intermediate written French.
  • Highly organized and detail-oriented, with the ability to work quickly and efficiently, both independently and as part of a team.
  • Strong technology skills (Microsoft Office, Internet, databases).
  • Patient, friendly, and efficient manner with students; cross-cultural sensitivity; commitment to diversity and inclusion.
  • Ability to work under pressure and to understand and follow policies and procedures.
  • High level of professionalism, proactive, motivated to learn, and flexible in response to shifting priorities.
  • Demonstrated ability to handle confidential information with discretion.
  • Knowledge and understanding of the American system of higher education is a plus.
