Job Title

AI Compliance Program Manager
Business Context:

TSI-CPS-STR (Strategy, Transversal Services, Research & Innovation) functions as a comprehensive organization grounded in eight pivotal pillars:

1- Providing expertise to lead and/or support any initiative or program while uniting project management stakeholders within a vibrant project management Community.

2- Formulating the technological strategy for our CTO.

3- Defining and advocating the Technical Services Portfolio that complements all Amadeus offerings.

4- Steering the operational transition of Amadeus applications to the cloud and overseeing the Governance for the Curiosity Program.

5- Delivering Artificial Intelligence and Research expertise to all business units, leading the GenAI Center of Excellence, and orchestrating the Amadeus TechWatch to investigate emerging technologies.

6- Accelerating innovation through the Lift program and the Corporate Innovation Capability, standardizing methodologies via COMPaaS, and managing communication for the CTO, the TSI organization, and the Engineering Community. Fabrice is joining CPS-TSI-STR with his current group which remains unchanged.

7- Nurturing and incubating key technological initiatives with strategic European projects.

8- Cultivating internal and external partnerships for strategic objectives.

As the Program Manager for AI Compliance, you will report to a CPS-STR-PCE Project Management team lead as part of pillar 1.

From an operational standpoint, this program is situated within the Legal & Regulatory stream in the AI Office led by Noelle HIGHAM. Noelle HIGHAM and Laurent CHAUVIN are expected to be the program directors, with Jackson PEK & Sylvain ROY as sponsors.

Job Responsibilities:

Your primary responsibility will be to establish the program tailored to the EU AI Act:
  • Prepare initial Project charter proposal:
    • Define/propose program governance (including key stakeholders and streams if necessary) / decision bodies. Validate with sponsors.
    • Define scope.
    • Estimate program costs.
    • Identify resource requirements.
    • Prepare High-level plan.
    • Identify risks.
  • Potentially lead an RFP process by providing key requirements and deliverables if/when external support is necessary (in collaboration with purchasing, legal, and all required teams).

Main Activities & Deliverables in collaboration with cross-functional teams including legal, engineering, and product development:
  • Comprehend AI Act regulations and establish a properly documented list of requirements.
  • Identify activities necessary to meet requirements (compile a list of activities and impacted areas).
  • Drive actions so that different organizations identify and classify all Amadeus AI models and systems into risk categories in a timely manner.
  • Collaborate with units and key stakeholders to update/create policies ensuring regulatory compliance (Product Lifecycle, Software Development Lifecycle, Internal Policies, etc.) and lead the implementation of appropriate processes and solutions.
  • Design and implement communication and training programs to educate employees on AI compliance/literacy.
  • Monitor and report on the progress of our AI models and systems compliance.

Key Responsibilities:

Project Management
  • Define/propose program governance (including key stakeholders and streams if necessary) / decision bodies. Validate with sponsors.
  • Lead RFP processes by providing key requirements and deliverables if/when external support is needed (in conjunction with purchasing, legal, and all required teams).
  • Establish your Project Management Plan: create a comprehensive project management plan. This will include program purpose & success criteria, schedule, budget, scope, governance, communication plan, risk management plan, change management plan, stakeholders.
  • Plan, monitor, and control the overall program: Ensure adherence to the original baseline by closely tracking program progress. Monitor schedule, budget, scope, and quality metrics. Promptly identify and address any deviations.
  • Timely Program Delivery: Successfully deliver programs within specified timeframes, budget constraints, and quality expectations.
  • Proactive Risk Management: Anticipate and manage risks throughout the program lifecycle. Address issues promptly to minimize impact.
  • Effective Budget Management: Manage program finances, optimizing resource allocation and financial planning.
  • Interdependencies Coordination: Facilitate collaboration between various projects and programs within the larger program. Ensure seamless coordination.
  • Resource Allocation: Efficiently manage and allocate resources across different projects within the program.
  • Change Management and Communication: Develop and support effective change management and communication strategies. Collaborate with Change Management practitioners and communication specialists.
  • Stakeholder Engagement: Engage with stakeholders involved in the program. Foster collaboration, alignment, and positive relationships.
  • Stay Current: Keep informed of the latest trends and developments in project management. Continuously propose optimizations and improvements.
  • Regular Progress Reporting: Provide management with regular updates on program progress.

Process & Methodology
  • Standard Tools Usage: Ensure consistent use of standard tools for planning, estimations, and document storage.
  • Community Participation: Actively engage in the Project Management Community to share best practices across Amadeus divisions.

Essential Experience/Skills:
  • Interest in AI and regulatory matters
  • Experience in managing and coordinating strategic transversal projects, collaborating effectively with all entities (P&C, Business, Engineering Community, DTS) and all sites.
  • Recognized leadership, communication & negotiation skills, enabling effective collaboration with team members, project stakeholders, and top management.
  • Conflict management

  • Ability to work independently, with guidance only in the most complex situations.
  • Ability to work under pressure while supporting the team.
  • Proficient with functional and technical knowledge
  • Certifications: PMP & SAFe
  • Over 10 years of experience
