As we expand, we’re looking for a proactive, detail-oriented **People Ops Specialist **to optimize our People processes across multiple geographies. You’ll be part of the People Team with Julie, People Specialist, and Charlotte, Talent Acquisition Specialist.

**Role Overview**

As the **People Ops Specialist **, you’ll be responsible for ensuring seamless People operations and providing support to managers in an international setting. You’ll handle administrative onboarding, payroll management, facility & office management, and provide operational support within the HR Business Partner (HRBP) scope. This role is ideal for someone with 2-3 years of experience in **payroll coordination or People Operations **, who thrives in a fast-paced environment and is eager to ensure a well-run HR function and office experience.

**Key Responsibilities**

**Administrative Onboarding**
- Collaborate closely with the Talent Acquisition Specialist to ensure a smooth onboarding process and take the lead on preparing contracts, legal documents, and setting up administrative processes.
- Ensure compliance with local labor laws and regulations across offices.
- Coordinate the collection and verification of employee documentation, offering country-specific onboarding guidance.Integrate new team members into HR systems, ensuring access to all necessary tools and resources.

**Payroll and Benefits Coordination**
- Work with payroll providers to ensure timely and accurate payroll across different countries.
- Maintain updated employee data and manage payroll-related processes (leaves, bonuses, benefits).
- Proactively explore new compensation and benefits schemes (e.g., plan d’intéressement, team incentives).Serve as the go-to person for payroll and benefits queries, providing clear guidance and support.

**Facility, Events & Office Management**
- Collaborate closely with the Talent Acquisition Specialist to plan and organize team events to foster internal mobility and collaboration across our different entities.
- Oversee day-to-day office operations in Belgium, France, and the UK, ensuring smooth functioning and well-stocked workspaces.Liaise with external vendors and service providers to resolve office-related issues.

**Operational Support to Managers (HRBP Scope)**
- Collaborate closely with the People Specialist to provide daily HR operational support to managers across entities, accounting for cultural and legal differences.
- Assist team leads with performance management, employee relations, and organizational changes while ensuring compliance with local regulations.Serve as an advisor to team leads on HR matters, helping navigate complex employee issues.

**HR Systems & Processes Management**
- Ensure accuracy and confidentiality of employee records and HR systems.Continuously seek ways to improve HR systems and processes for greater efficiency.

**Key Competencies**
- Strong alignment with Soil Capital’s mission.
- Excellent knowledge of HR laws and regulations in France, with a willingness and ability to quickly learn UK laws and Belgian regulations as we expand.
- Excellent communication skills in French and English, both written and spoken, to ensure flawless communication across all offices.
- Ability to manage multiple priorities in a fast-paced, evolving environment.
- Proficiency with HR software and a passion for process improvement.Strong sense of ownership and initiative, with a focus on continuous improvement.

**Profile Requirements**
- Degree in Human Resources, Business Administration, Labor Law, or a related field.
- 2-3 years of experience in People Operations, HR Coordination, or Payroll Management.
- Experience with payroll coordination and office management is preferred.
- Strong organizational skills and ability to multitask.
- High emotional intelligence, with a commitment to fostering a positive work environment.Willingness to travel from time to time between our different entities.
