Job description
ABOUT THE ROLE
As Executive Assistant to the VP Compliance and the VP Performance & Cost Efficiency, you will play a key role in supporting two strategic functions within the Group. Acting as a trusted business partner, you will ensure the smooth coordination of daily activities, facilitate communication with internal and external stakeholders, and contribute to the efficiency of both departments. This position requires a highly organized, proactive and discreet professional who thrives in a fast-paced international environment.
KEY RESPONSIBILITIES
Executive Support
• Manage complex calendars, meetings and appointments for both Vice Presidents.
• Organize business trips, conferences, workshops and leadership meetings.
• Act as the primary point of contact between the executives and internal and external stakeholders.
• Prepare, review and format presentations, reports, correspondence and other business documents.
• Attend meetings when required and prepare meeting minutes and executive summaries.
• Handle sensitive and confidential information with the highest level of professionalism. Administrative & Financial Coordination
• Support the administrative management of both departments.
• Manage purchase orders, including creation, monitoring and reconciliation.
• Review and pre-validate invoices related to consultants, external service providers and statutory auditors.
• Coordinate engagement letters and related administrative follow-up.
• Monitor and follow up on funding requests from agencies and subsidiaries.
• Support the tracking and coordination of various financial and governance processes. Reporting & Communication Support
• Contribute to the preparation of reports, presentations and corporate documentation in both French and English.
• Ensure the quality, accuracy and timely distribution of information and documentation.
• Support internal communication and reporting activities across both functions. Profile description: PROFILE
• Bachelor's degree or equivalent higher education qualification
• Fluent English, both written and spoken
• Advanced proficiency in Microsoft Office Suite
• At least 5 years of successful experience in a similar position, preferably within an international and multicultural environment SKILLS & COMPETENCIES

• Proven ability to handle sensitive and confidential information with discretion
• Ability to manage multiple priorities and stakeholders simultaneously in a fast-paced environment
