As an Administrative & Purchasing Coordinator, you will be responsible for providing administrative support to the design studio, ensuring efficient and smooth daily operations, and enhancing overall workflow.
**Key Responsibilities:**
- **Reception & Security:**
- Answer phone calls and respond to inquiries
- Ensure confidentiality rules are enforced for visitors and participants
- Communicate with teams and stakeholders
- Assist in setting up a confidentiality perimeter during interventions
- **Purchasing & Suppliers:**
- Contact potential suppliers and follow up on requests
- Create, modify, and maintain supplier accounts
- Handle and monitor purchase requests
- **Facility Management:**
- Support the planning of building maintenance and upkeep
- Inform facility management company about existing issues and follow up
- Assist and accompany service providers on site
- **Administrative:**
- General communication regarding daily life in the building
- Prepare occasional translations
- Receive and manage mail and packages with the teams
- Monitor office supplies and place orders as needed
**Requirements:**
- **Education:**
- Baccalauréat, or Bac+2, Bac+3
- Internship in a company (summer internship) highly valued
- **Language Proficiency:**
- Fluent in both English and French
- **Personal Competencies:**
- High willingness to learn and commitment
- Good interpersonal and communication skills

**Job Offer:**
- A Work-study student contract for 2 years
