Role Overview

We are in search of a meticulous and highly organized Executive Administrative Coordinator to support our expanding team.

Working closely with our CEO, you will oversee our ongoing administrative functions, including payroll, onboarding, supplier management, and office operations. Furthermore, the Executive Administrative Coordinator will lead and manage time-sensitive projects such as HR tool implementation, office relocations, and other special initiatives. This role is crucial for maintaining the seamless operation of our business and enhancing the productivity and efficiency of the team.

Key Responsibilities

  • Oversee ongoing administrative functions such as payroll, onboarding, and supplier management.
  • Manage office operations, including supply orders, equipment maintenance, and ensuring an organized workspace.
  • Coordinate and streamline office activities and operations to ensure efficiency and adherence to company policies.
  • Manage and maintain executives' schedules, appointments, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Assist in the preparation of regularly scheduled reports.
  • Develop and maintain a filing system for important and confidential company documents.
  • Handle sensitive information with discretion.
  • Lead and manage projects independently.

Qualifications

  • Full working proficiency in English and French.
  • Demonstrated experience as an Executive Administrative Coordinator, Office Manager, or in a similar capacity.
  • Familiarity with office management systems and procedures.
  • Proficiency in Google Workspace, Slack, Notion.
  • Exceptional time management skills and the ability to prioritize tasks effectively.
  • Strong attention to detail and problem-solving abilities.
  • Excellent written and verbal communication skills.
  • Robust organizational skills with the capacity to multitask.
  • High level of discretion and confidentiality.
  • High School diploma; additional qualifications as an Administrative Assistant or Secretary are advantageous.
  • Experience with payroll and HR tools is a plus.
