Overview


Host Broadcast Services, fully owned by Infront Sports & Media, is a specialist host broadcast organisation, originally established with the core mandate of producing the television and radio signals for the 2002 and 2006 FIFA World Cups™.


Based in Switzerland, with its planning headquarters in Paris/Boulogne, the company has evolved since its formation in 1999 and built upon its unique capabilities by attracting expert personnel from the very top levels of the television industry to complement the experienced staff who have honed their skills over previous FIFA World Cups™.


Main responsibilities


The Project Coordinator plays a pivotal role in ensuring the successful delivery of the complex FIFA+ Member Associations (MA) project. By organizing, facilitating communication, and supporting decision-making, the coordinator contributes to project efficiency, collaboration, and overall project success.


Additionally, from a corporate aspect the Coordinator support the effective alignment and communication across the FIFA Projects Unit and supports the FIFA Projects Unit Director on multiple coordination and project management task.


Therefore, on the corporate side, you:


Alignment and Coordination:

  • Arrange regular division meetings to foster alignment among representatives from different divisions
  • Ensure follow-up actions are taken based on meeting outcomes
  • Support on company analysis work where relevant


Corporate Tools Support:

  • Collaborate closely with the Project Management Office (PMO) to evaluate and enhance corporate tools
  • Facilitate their effective use across the department


Strategic Support:

  • Assist the Division Director in creating with strategic presentations (MS PPT).
  • Assist the Division Director with budget management and tracking


And, on the project side, you:


Project Delivery Support:

  • Collaborate with cross-functional teams to ensure the project stays within scope, adheres to budget constraints, and meets deadlines
  • Maintain a client-facing approach, fostering close cooperation with FIFA+ stakeholders
  • Support the delivery of projects


Organizational Leadership:

  • Establish and maintain an overall project plan in collaboration with all project delivery areas
  • Ensure a holistic view of processes and project organization


Decision Support:

  • Identify critical decisions that need to be made in consultation with the Project Manager
  • Document and direct these decisions to the appropriate decision-making level or forum
  • Ensure that implemented decisions are well-communicated and followed


Internal Communication and Coordination:

  • Facilitate seamless communication among project team members
  • Oversee the financial administrative side of the FIFA MA project. Including supplier negotiation, invoice tracking and working with the HBS finance department on regular budget updates
  • Coordinate efforts across different departments to maintain project momentum


Documentation and Reporting:

  • Develop and manage project-related documentation, ensuring accuracy and completeness


Required skills


  • Your have a prior experience in production operations, highly desirable
  • You demonstrate strong organizational skills, ensuring efficient workflows and effective task management
  • You are able to convey information clearly and collaborate effectively with colleagues and stakeholders
  • You master Microsoft Office tools for documentation, communication, and data management
  • You are comfortable using project management tools to streamline processes
  • You take initiative and are results driven
  • You have strong skills at consensus-building and leading meetings with diverse participants
