Job DescriptionWe are seeking a proactive and detail-oriented Junior Assistant to provide crucial support to the Head of Finance Transformation and the Senior Assistant to the Group Chief Financial Officer. This role will be instrumental in ensuring the seamless execution of day-to-day activities by efficiently handling administrative tasks and providing essential clerical support.
Key Responsibilities- Manage administrative requests and inquiries from senior managers.
- Organize and schedule appointments using Outlook.
- Handle phone calls and direct them appropriately.
- Maintain updated contact lists.
- Research and arrange travel logistics.
- Manage and reconcile expense reports.
- Welcome and assist visitors.
- Act as a primary point of contact for internal and external clients.
- Assist with the onboarding and offboarding processes for new starters and leavers.
- Collaborate with the Senior Assistant on project implementation.
- Provide office coverage during the Senior Assistant's absence.
- Completion of Bac +2 training (BTS Assistant de Direction/Assistant Manager).
- Previous administrative experience is desired.
- Proficiency in Microsoft Office programs and tools.
- Knowledge of communications, social media, and marketing is an asset.
- Excellent interpersonal skills with the ability to work effectively with individuals from diverse cultural backgrounds.
- Exceptional communication skills with fluency in both oral and written English and French.
- Excellent time management skills and the ability to prioritize tasks effectively.
- Keen attention to detail and strong problem-solving abilities.
- Exceptional organizational skills with the capacity to manage multiple tasks concurrently.
- Ability to interact and adapt to high-level contacts with diverse responsibilities and nationalities.
- Strong interpersonal skills and a collaborative mindset.
- Commitment to discretion and maintaining the confidentiality of sensitive information.
- Adherence to established procedures and a thorough approach to tasks.
